Choosing the Right Certificate Holder for UK Schools
10th January 2026

When it comes to presenting student achievements, the certificate holder you choose says a lot about your institution. Whether you’re handing out GCSE results, recognising sporting excellence, or celebrating end of year awards, the right holder transforms a piece of paper into something students will keep for years.
At School Smart, we manufacture a range of certificate holders and folders here at our Doncaster workshop, so we’ve seen firsthand what works for different situations. This guide walks you through the options and helps you match the right product to your specific needs.
Understanding Your Options
The main choice you’ll face is between card presentation folders, files with pockets, and luxury certificate holders. Each serves a different purpose and budget.
Card presentation folders are our most popular choice for schools. They’re cost effective, smart looking, and practical for high volume use like results days and presentation evenings. We produce these in two thicknesses: a 1mm spine that holds up to 15 sheets, and a 5mm spine for holding between 15 and 50 sheets. Both come in A4 and A5 sizes.
Files with pockets work brilliantly for ongoing collections of work. If you’re building a student’s record of achievement over time, or creating a portfolio they’ll add to throughout the year, a file with 10, 20 or 40 pockets gives them structure and protection. Our record of achievement files are particularly popular for this purpose.
Luxury certificate holders sit at the premium end. These are hand made with a leather effect cover and watered silk interior, designed to hold two A4 documents. They’re ideal for significant milestones like graduation or major awards where you want the presentation to match the achievement.
Matching Products to Use Cases
For GCSE and A Level results days, card presentation folders strike the right balance. Students receive their certificates in something smart and branded, but you’re not overspending when you’re giving out hundreds. Our Chester style achievement folders (A4 with a 5mm spine) are popular here because they hold multiple certificates comfortably.
For presentation evenings and awards ceremonies, you might choose the same folders but add a window to the front. This lets you see the student’s name without opening the folder, which speeds up the presentation process considerably. The window adds just 10p per folder.
For record of achievement programmes, files with pockets make more sense. Students can organise coursework, certificates, and personal statements in sections. The file becomes a working document rather than just storage.
For sixth form leavers or significant awards, luxury certificate holders elevate the moment. The hand finished quality signals that this achievement matters, and students genuinely keep these.
Colour and Branding Considerations
All our folders come in 13 colours, from classic navy and black through to burgundy, purple, and green. You can match your school colours precisely, or choose a neutral that works across departments.
We foil block your school name, logo, and any additional text onto the front cover. Foil colours include gold, silver, black, blue, red, and green. Most schools go with gold or silver on a darker card for that classic academic look, but we’re happy to produce proofs so you can see exactly how your branding will appear.
Practical Points
Think about how certificates will be distributed. If you’re posting them, our presentation wallets fit perfectly into C4 envelopes, which keeps postage costs down compared to larger packaging. If students are collecting in person, folders and files work well for immediate presentation.
Consider whether you need the holder to last. Card folders are durable for storage but aren’t designed for daily handling. If students will carry something to interviews or reference it regularly, a file or luxury holder stands up better to repeated use.
